Building management services.

Proactive oversight, contractor accountability, and structured reporting for strata communities across Melbourne, led personally by the director.

What building management includes.

A structured approach to keeping your building maintained, compliant, and running smoothly every day.

  1. Maintenance oversight

Regular inspections, preventive maintenance scheduling, and proactive issue identification. We catch problems early, before they become costly repairs or safety risks.

  2. Contractor coordination

We source, brief, supervise, and quality check every contractor who enters your building. Documented progress tracking ensures nothing falls through the cracks.

  3. Compliance management

Essential safety measures, fire system servicing, OHS obligations, and regulatory requirements tracked and managed. Your building stays compliant without committee effort.

  4. Emergency response

24/7 emergency response. Water leaks, power failures, security incidents, and after hours callouts handled with clear escalation procedures.

  5. Structured reporting

Written status reports delivered to your committee covering completed work, open items, upcoming maintenance, risk identification, and financial summaries.

  6. Day to day operations

On site presence, resident communications, common property inspections, defect logging, and everything else needed to keep your building running properly.

Our 4 step management lifecycle.

A clear, repeatable process. The same written standard applies wherever JKFM is engaged. No guesswork, no firefighting.

  1. Understand

We audit your building's current state, review existing contracts, maintenance history, compliance gaps, and key risk areas.

  2. Plan

We build a structured maintenance plan with priorities, timelines, and budget recommendations for your committee to approve.

  3. Manage

We coordinate contractors, supervise work quality, conduct inspections, manage defects, and handle day to day building operations.

  4. Report

Your committee receives clear written reports on completed work, open items, upcoming maintenance, identified risks, and financials.

What your committee receives.

Structured, documented outputs so your committee can make informed decisions instead of chasing updates.

  1. Status reports

Regular written updates covering all open maintenance items, completed works, and upcoming actions. Clear visibility of everything happening in your building, with no detail left undocumented.

  2. Risk registers

Documented risk identification with severity ratings, recommended actions, and tracking. Issues are flagged early so your committee can address them before they escalate into costly problems.

  3. Contractor scorecards

Performance tracking for every contractor engaged on your building. Quality of work, timeliness, communication, and value documented so your committee can make evidence based decisions on renewals.

  4. Financial summaries

Clear breakdowns of maintenance expenditure, upcoming costs, and budget tracking. Your committee sees exactly where funds are being spent and what is coming up on the horizon.

Common issues we solve.

Most owners corporations face the same recurring challenges. Here is how we address them, problem by problem.

  1. Reactive maintenance

    The problem
Things only get fixed when they break, leading to higher costs and frustrated residents.
    Our fix
We shift your building to a proactive model with scheduled inspections, preventive maintenance, and early issue detection.
  2. Unsupervised contractors

    The problem
Contractors arrive, do the minimum, and leave with no one checking quality.
    Our fix
We brief every contractor, supervise their work on site, verify completion, and document outcomes in writing, photographed where an issue warrants it.
  3. Scattered information

    The problem
Critical building data lives across emails, spreadsheets, WhatsApp groups, and contractor invoices.
    Our fix
We centralise everything into structured records with a complete audit trail for every decision and action.
  4. Committee overload

    The problem
Volunteer committee members end up driving maintenance outcomes instead of governing.
    Our fix
We handle the operational complexity so your committee can focus on informed decision making, not chasing tradespeople.

Terms your committee can hold us to.

Stated plainly, in writing, before you sign anything.

  1. A six month trial period

Every JKFM building management agreement starts with a six month trial period.

  2. No security interests

JKFM does not take security interests over owners corporation assets or funds. Some service contracts in the market include PPSR registration rights, break fees and penalty interest; committees should check theirs.

  3. Insured and registered

Public liability insurance of $20 million, certificate available on request. Workers compensation registered with WorkSafe Victoria.

Frequently asked questions, answered in order.

A building manager is a professional who oversees the day to day operations and maintenance of a residential or commercial building on behalf of the owners corporation. They coordinate contractors, manage compliance, conduct inspections, and provide structured reporting so your committee can make informed decisions instead of chasing issues.

We take a proactive, structured approach rather than reactive firefighting. Our 4 step lifecycle (Understand, Plan, Manage, Report) ensures nothing falls through the cracks. We provide documented status updates, quality checked contractor work, and clear audit trails so your committee always knows what's happening.

We service the Melbourne metropolitan area. Whether your building is in the inner suburbs like South Yarra, Richmond, or St Kilda, or further out, we can tailor a management plan to suit your needs.

Yes. We offer structured cleaning programs for common areas, lobbies, car parks, stairwells, and bin rooms. Every clean is documented on per shift checklists, and we run quality audits to maintain standards.
